How we handle your information and our commitments to you

Privacy Policy
Bharatiya Sanskriti and Sampradaya (“BSS”, “we”, “us”) is a cultural organisation based in Reading, United Kingdom. We are committed to protecting your privacy and handling your personal information responsibly, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. BSS is the data controller for the information described below.
What we collect and why
- Event registrations — your name, email address, phone number, the tickets and optional items you choose, the number of adults and children attending, payment status and attendance on the day. We use this to manage your booking, contact you about the event and keep an accurate headcount for safety and safeguarding.
- Performer registrations — the contact’s name, email address, phone number and relationship to the performers; the names of everyone performing; teacher name; performance details; any soundtrack you upload; and payment records. We use this to review applications, plan the programme and running order, and communicate with you.
- Artist registrations (Naada Neerajanam) — contact details, performer names, art form and style, biography, portfolio links and availability, so we can consider you for future programmes.
- Event surveys — your answers to any questions an event asks during registration, used to plan that event.
- Contact messages — your name, email address, optional phone number and message, so we can reply.
We process this information because it is necessary to provide the registration or service you have asked for, and for our legitimate interests in running safe, well-organised community events. Where we rely on your consent (for example, analytics cookies), you can withdraw it at any time.
Children’s information
Many of our performers are children. Their details are provided by the parent, guardian or teacher who registers on their behalf and remains our point of contact. For visitor registrations we record only the number of children attending, not their names.
Payments
Card payments are processed securely by Stripe. You enter your card details on Stripe’s own checkout page; BSS never sees or stores your full card number. We keep a record of the amount paid, the date and a payment reference.
Who we share it with
We do not sell your personal information. We share it only with the service providers who help us run this website, each acting on our instructions:
- Stripe — payment processing.
- Cloudflare — secure delivery of this website, bot protection on our forms (Turnstile), and storage of event images and performer soundtracks.
- Google — website analytics, only if you accept analytics cookies.
- Zoho — sending and receiving our emails, including registration confirmations.
- Our website hosting and database providers.
We may also disclose information where required by law.
How long we keep it
We keep personal information only for as long as it is needed for the purpose it was collected for, and to meet our legal and accounting obligations. Payment records may be kept for up to six years.
Your rights
You have the right to request access to, correction of, or deletion of your personal information, to object to or restrict how we use it, and to receive a copy of it. To make a request, please contact us. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Photography and Media
Photographs and videos are taken at BSS events for archival, educational and promotional purposes, including our website gallery, social media channels and other communications. Registering for an event or performance includes consent to this, as set out on the registration form.
If you do not wish to appear in photographs or recordings, or would like an image removed, please tell the organisers on the day or contact us, and we will make reasonable efforts to accommodate your request.
Safeguarding Statement
BSS is committed to providing a safe, respectful and inclusive environment for everyone who takes part in our events — visitors, performers, volunteers, children and vulnerable adults. Every visitor registration must include at least one adult, and we expect all volunteers and members to uphold these principles.

By using this website, you agree to use it only for lawful purposes and in a way that does not infringe the rights of others or restrict their use of the website.
All content, photographs, logos and materials on this website belong to BSS unless otherwise stated and may not be reproduced without permission.
